A Quick Guide To Kickstarting Process Creation & Implementation At Your Inbound Marketing Agency

Not too long ago, we realized we needed to create scalable processes for the tasks and projects we were consistently repeating, because we knew if we didn’t, it could start affecting the growth of our company.

So we created a process manual—and it has continued to grow ever since! Now creating and implementing processes isn’t only out of necessity—we’ve all grown to love it!

Do you need to start documenting and implementing processes across your agency? From our experience, here are a few steps you can take to get started.

1. Designate a “process manager.”

First things first—before you do anything else, pinpoint an organized person in your agency who can manage the process creation and implementation process well—this person will be your “process manager.”

2. Create a process manual.

This process manual can be in whatever form you think would work best for your organization. Because our process manual changes and grows from week to week (and also because it’s 2016!) our process manual is in a digital form—it’s currently a Google Doc with a table of contents of quick links so our team members can easily jump to whatever process they’re looking for.

3. Come up with a method for creating processes.

From that point, the appropriate individual on our team is tasked with fleshing out a certain process, which they then send to the process manager to add to the process manual.

It’s an incredibly simple, quick guide that ensures our team members don’t leave out any necessary information when they’re creating a process. (Plus it keeps all our processes in a consistent format.)

4. Think through process implementation and follow-up.

A process not followed is a process not worth much! Make sure you have a plan for implementing and following up on the processes you’ve created. This should include how to notify the necessary team members of the new process, how to remind them of that process, and how you’re going to make sure they’re carrying it out. 5. Implement process accountability.

Some people love processes. Some people hate them. Some people love them, but have trouble implementing them. Since following processes is so important, it’s best for the company if you have everyone on the team keeping each other accountable to the processes and procedures you’ve put in place.

Here’s our accountability clause at Nectafy:

It is the responsibility of every Nectafy team member to let other team members know when they don’t follow a process correctly. If you notice that a team member is repeatedly ignoring or not following a certain process, let your supervisor know.”

The thought of “calling someone out” for not following a process isn’t a pleasant one at first, but this kind of accountability is necessary if you want to create a culture that deems processes important. Rarely at Nectafy do we run across a circumstance where someone is intentionally ignoring a process—so calling someone out just ends up being just a friendly reminder!
